2008 NSF Budget Exhibition: Collecting information for February 4th event!

This is the second year that NSF will showcase science/engineering research and education programs as selected by the directorates and offices throughout the Foundation. A total of 11 exhibitors will be here for this public event. NSF Director Arden Bement was pleased with last year's "Open House". NSF/OLPA is pleased to have you join us this year. We estimate more than 1,000 attendees this year including students and adults.
Purpose and Theme: To involve, educate and inform key constituencies (Congressional staff, media, professional societies, and corporations) about NSF's FY2009 Budget Request. The theme for the 2009 roll out is innovation and competitiveness.
The event will strengthen advocacy for NSF and provide education on new research and education priorities. We want to exhibit newsworthy science/engineering research and education/infrastructure projects from all of the directorates and offices.
We want to provide key constituencies with an opportunity to interact, see and learn more about the scope of NSF’s endeavors. Exhibits must be interactive and clever to attract and engage people. They must be visually appealing and include video, animations, and hands-on demonstrations. Consider what people visiting the booth will learn and take away from their interaction. Exhibits should be attractive to local and national media.

Things that went well:
- the 3D viz did a good job of pulling people in to see what we had to show
- the WiiMD was very engaging
- handouts, esp Science Highlights were in high demand
- walking about to see the other displays, I got some good contacts for TG to follow up with, and was able to draw other presenters over to see the TG display
- hands-on Jumpstart/STAKES materials were engaging; got requests for wider distribution from a number of people
Things that didn't work/should be done differently:
- the slide presentation had a lot of good information, but it wasn't as engaging as the WiiMD, so it didn't get as much play. If we're going to use this much video, we should have separate displays to make sure everything gets air-time.
- Should have had more Science Highlights. Also might want a lighter-weight overview document (e.g. SciHighlight pix w/just captions) to save costs, address a less-technical audience
- for this audience, emphasis the lay-perspective more than the technology/science. Keep deeper materials on-hand for more technical or scientific visitors, but keep a higher focus for the more general audience
I would guess that I spoke:
- to at least a few dozen school kids (including homeschoolers)
- with a dozen or so kids in more detail
- with 10-15 NSF staffers of all ranks (from Kathy Olsen on down to clerks & secretaries; I missed Dr Bement)
- with most of the other presenters, esp those not in the Atrium

Public Exhibition Hours: 11:00am to 5:00pm (*Students will be arriving at 10:00am.) The 11:30am-2:00pm lunch time period was the busiest last year.
Location:-- National Science Foundation, 4201 Wilson Blvd., Rm. 1245, Arlington, VA 22230. Exhibits will be in three public-access locations on the ground floor of the building: Atrium Lobby, and Rooms 110 and 120. Specific locations for exhibits have not been assigned yet. Large signage will address each exhibitor location.

Exhibitor Set-Up: Must occur the morning of February 4, not the evening before. There will be 11 exhibitors -- some in the atrium and some in the two meeting rooms behind the main registration desk on the first floor. Patrick will assign locations once all of the exhibitors are identified, but he will likely place TeraGrid in one of the meeting rooms to accommodate good viewing of the large monitors for vis displays. We'll have a 15'x15' space. NSF will provide tables and chairs. They have televisions if needed, but we'll need to provide our own monitors. They will have wireless and wired connections, but they are encouraging use of the wireless. Equipment may be shipped in advance and will be kept in a secure location until the morning of set-up.
Audience: NSF program officers; Corporate and industry people from the area (they were responsive to the event last year); Congressional people - perhaps 6 to 12 of them; Kids (K-12) and parents - but in small groups of about 6 at a time; Media.
